STEPS TO A SUCCESSFUL LETTER WRITING

RE-ENROLLMENT PROGRAM:

 

1.  MAKE UP A LIST:

 

Have your secretary (or better yet help him) develop a list of dropped members.

·        Go over it carefully!  Check for deceased members or members who have moved away.

 

·        Look up addresses in the phone book.

 

2.  MAKE TWO MOTIONS:

 

·        Make a motion at an Aerie meeting to waive the re-enrollment fee for a month or two.  This means you will charge them only a years dues and not the extra fee of $5 or so.  This will make it a bargain to re-enroll.

 

·        Make another motion to pre-approve the list of dropped members that you have made above.  This will guarantee that the dropped member will be accepted back into the order.

 

3.  WRITE THE LETTER:

 

·        Use your Aerie letterhead.  If you don’t have one, make one up!

 

·        Proof it over carefully!  Make it personalized to your Aerie!

 

·        Have a member who knows this person, write a personal note on it.  Something like “Jim, we really miss your jokes down here!”

·        Sign it!

 

4.  MAILING IT:

 

·        Include a stamped self addressed envelope with the letter

 

·        Include a re-enrollment blank that is already filled out with the amounts and name of that person.  (We work on these after Aerie meeting nights with a drink or two….. sometimes three…:>:>:>)

 

5.  FOLLOW UP:

           

·        After one week, call the dropped member.  Did he get the mailing?   Would you like him to have you stop by and pick it up?

 

·        If he says he no longer wants to join, ask why?  Be ready to refute his concerns.
